Managing Expiring Certifications

Stay ahead of expiries before they become gaps.

Every mining operation has training, certifications, qualifications and other requirements that can expire.

The challenge isn't simply knowing that something expires.

The challenge is knowing:

  • What is expiring?
  • When does it expire?
  • Who does it affect?
  • Has it been renewed?

Expirations become a problem when they're discovered too late

Imagine discovering that an employee's required qualification expired yesterday.

Now the operation has to determine:

  • What happened?
  • When did it expire?
  • Was the employee scheduled to perform the work?
  • Has the training been booked?
  • Is there another qualified person available?
  • Where is the documentation?

A proactive system can help identify these issues before they become operational problems.

Build visibility into expiration dates

A useful training management process should allow teams to identify upcoming expirations.

For example:

90 Days

Upcoming requirement.

60 Days

Plan renewal.

30 Days

Confirm training or assessment.

Expired

Requires immediate attention.

The exact timelines should be determined by the organization and applicable requirements.

Don't rely on memory

Expiration management shouldn't depend entirely on one person remembering when dozens or hundreds of employee qualifications expire.

This becomes especially difficult with:

  • Large workforces
  • Multiple shifts
  • Rotational employees
  • Contractors
  • Multiple sites
  • High employee turnover

Centralized records can significantly reduce the amount of manual tracking required.

Connect expirations to the employee

An expiration date means more when it's connected to the employee and requirement.

Instead of:

“Certification expires August 30.”

you want to know:

“John Smith — Certification X — expires August 30.”

That makes the information actionable.

Don't let expired records disappear

Historical information can also be important.

When something is renewed, the organization may need to retain evidence of previous training and qualification.

Maintaining an appropriate history helps organizations understand what happened over time.

The DriftCore approach

DriftCore is designed to help organizations keep employee training and qualification information organized and visible.

The goal isn't simply to track dates.

It's to give the people responsible for training and safety the information they need before an expiry becomes a problem.

Don't chase expirations. Stay ahead of them.
